IT Asset Management (ITAM)

Most organisations have a substantial level of IT assets but due to the mad rush of day-to-day business, there’s rarely a fully accurate picture of what IT assets are within the organisation.  This is especially a problem for larger organisations spread across many locations, often in different countries.  It may be a problem of Hardware Asset Management, Software Asset Management, or, as is more often the case, a combination of both.

The prospect of accurately identifying every item of IT hardware and software is daunting for most and often, as soon as an inventory is created, it’s then out-of-date.  This means that there is often unnecessary expense on software licences, hardware that’s not used or is under-utilised, and often problems of non-compliance with software licence regulations.

The answer is to have a comprehensive IT Asset Management (ITAM) strategy that not only provides you with a view of your IT assets now, but is easy to keep an ongoing track of IT assets within the organisation.  This leads to a fully accurate picture and, in most cases, substantial cost savings, particularly on software assets.

Knowing what IT assets there are, how they are configured, where they are, who uses them and how much they are used provides the information needed to implement and maintain an effective and cost efficient IT Asset Management strategy. Organisations can then run their businesses more productively – concentrating on the running of the company rather than the IT assets estate.

The service we provide

Our IT Asset Management Service can focus on either your hardware, software, or often, both.  Using our expertise we identify all IT assets within the organisation and create detailed asset repositories using our discovery and inventory techniques developed over 15 years in the industry.   By allowing us to help you implement an IT Asset Management strategy we can guarantee accuracy of your inventory and help you benefit from the financial advantages of ‘knowing’ your IT.

One of the aims of our service is also to achieve cost savings.  Although it should be of primary importance that an organisation only has assets that are being properly utilised, and should also be legally compliant on software licences, there are big opportunities to make substantial cost savings through our service.  One such cost saving is quite common because once we’ve identified all assets we discover that organisations are often over-paying for software licences and can make substantial cost savings.

Our clients have the option of utilising our expertise on a one-off basis or using our ongoing managed service, within which we continually monitor the hardware and software asset management system, validating its integrity and accuracy against the physical environment.

Our Experience

Our team of specialists combined have in excess of 150 years ITAM experience and have a portfolio of customers and engagements that include the world’s largest asset management project, spanning 100 countries and some 5 million IT assets – all delivered on time and to budget.  While most of our clients don’t have such an extensive range of IT assets, our work on that particular project demonstrates that we have the experience to produce the best results.

Benefits

Our IT and Software Asset Management services provide many benefits to clients, including:

  • A complete, and rolling, view of all IT assets within the organisation
  • Compliance with legal regulations (mainly with software licences)
  • Substantial cost savings through identifying software licences no longer required
  • Understanding the hardware assets available and so avoiding wasted budget on new hardware that may not have been necessary
  • Peace of mind that there is an accurate picture in the event of an audit or investigation
  • Regular reporting that identifies changes to the installed user base and license position

Costs

We feel that the costs for our IT Asset  Management services are often cost-neutral or result in a profit for the client.  Every client is individual of course but in our experience, we find that most organisations have an excess of software licences that when removed, result in cost savings that far exceed our costs.   This also applies to IT hardware and our ability to help clients avoid buying hardware unnecessarily, through having an accurate picture of all hardware available within the organisation.

In the first instance we invite potential clients to contact us to discuss in confidence your needs and we will provide you with a no-obligation appraisal of how we can help you with building a 100% accurate picture of your IT assets, that may also be a cost-neutral (or profitable for you) exercise.

Case Studies

Recently, and in conjunction with one of our suppliers, we ran a very successful programme with one of our contract accounts, CIBA. Through the use of this service we achieved almost a £2 million saving in service credits.

Our Guarantee

Although every organisation will currently have differing levels of IT Asset Management in place, and therefore there will be differing potential to save huge amounts on costs, because every organisation is different we can’t guarantee cost savings for everyone.   However, we can guarantee that every client will gain a totally accurate picture of all IT assets, which provides the opportunity to be legally compliant (especially on software), benefit from increased business efficiencies, and in cases where there are cost savings to be made (which is often the case), it’s not uncommon for those savings to be over 20% of previous expenditure.

Our Full Range of Services

Most of our clients are initially attracted by one of our services but most go on to use many of our other services.  Our focus is on saving clients budget in a wide range of areas, while improving operational efficiency.   Please do look at our services introduction page to see other areas in which we can help you.
